PROCUREMENT CHECKLIST
Prepare a delivery brief for an overseas factory
The purchasing contact, paying company and receiving factory may be in different countries. Treat them as separate parts of the delivery brief.
Name the actual delivery destination
At enquiry stage, provide the receiving country and whether the shipment is a sample or bulk requirement. Exact addresses and consignee details can be confirmed when shipment planning is appropriate.
State the requested handover arrangement
If you plan to use a forwarding agent in China, identify the requested handover point and responsibility split. Domestic forwarding and direct cross-border delivery arrangements need confirmation; no local warehouse or overseas factory is implied.
Separate product timing from transport timing
Availability, development time, packing, handover and transit are different stages. Share a requested arrival date as a planning input; it becomes a commitment only after the relevant conditions are agreed.
Verify the shipment documents
Confirm product descriptions, quantities and units, packaging information and documents required by the receiving party. Import and customs responsibilities should be agreed with the actual shipment parties.
